Administrative Assistant

This team member will provide general office assistance, including greeting the public in person and on the phone, filing, copying, and mailing while working in a team setting and maintaining confidentiality.

Essential Duties:

  1. Facilitate telephone calls and greet the public in a professional manner.
  2. Type, copy, scan, fax, and distribute/email all reports, correspondence, and other material as directed by the Program Administrator and Treatment Team members.
  3. Maintain/create residential facility forms, collateral forms, and main office filing system.
  4. Maintain program calendars on Outlook and insure required calendar postings.
  5. Maintain/create program spreadsheets in Excel and program booklets in PowerPoint.
  6. Complete all required data entry information.
  7. Meet deadlines and produce quality work.
  8. Transpose dictation.
  9. Submit all work requests.
  10. Maintain office equipment and a neat office environment.
  11. Ensure the confidentiality of client and employee information.
  12. Access the internet for pertinent/relevant information.
  13. Secure/lock designated building doors, windows, and filing cabinets at the end of shift.

Requirements Include:

  • High School Diploma
  • Ability to pass DCFS and criminal back-ground checks
  • Familiarity with Microsoft Office
  • Prefer 2 years of related work experience
  • Three years driving experience, with valid Driver's License, insured vehicle, and clean driving record
